Academy Operations - Intern

Join our RoboticGen Academy team in this learning opportunity to gain hands-on experience in educational operations. As an Academy Operations Intern, you'll support the creation of an optimal learning environment for our students while developing skills in educational management. This internship is ideal for recent graduates or final-year students in education, science, mathematics, or ICT.

Responsibilities

Makerspace Operations

• Ensure smooth operation of our makerspace located in Dehiwala.
• Manage workshops, team challenges, and special events.
• Build strong relationships with students and parents while effectively communicating our learning experience.
• Manage attendance and coordinate check-in/check-out procedures for students, parents, and mentors.
• Ensure the safety and well-being of all makerspace participants.
• Inventory management that’s used for challenges, workshops and hardware kits logistics arrangement.

Mentoring Basecamp Operations

• Create and manage weekly mentoring schedules with parent communication.
• Host online and physical mentoring sessions.
• Support students with technical and learning difficulties to ensure effective learning.
• Handle course management on our learning management system

Student Success

• Organize quarterly parent meetings to discuss student progress.
• Monitor student progress and engagement; proactively resolve issues to maintain high levels of student and parent satisfaction.
• Maintain seamless communication through internal channels with both the RGen Team and Academy clients (students/parents).

Payments Handling

• Process and track payments from parents in a timely manner.
• Share upcoming program information and upsell our products to parents and students.

Reporting & Growth

• Participate in academy operations meetings to ensure smooth operations.
• Implement new tools to enhance both backend and frontend academy experiences.

Other

• Adaptability: Perform any other reasonable task as needed to ensure a smooth learning experience for the students.

Working Hours

• This position follows a hybrid work schedule.
• This position required maximum of 40 hours per week time commitment.
• Must be available for online sessions on weekday evenings from 7:00 PM to 10:00 PM
• Must be available for in-person sessions at our Dehiwala makerspace on Saturdays from 9:00 AM to 6:00 PM
• Handle direct phone calls and WhatsApp inquiries from parents and students during weekdays (4:00 PM–10:00 PM) and Saturdays (8:00 AM–6:00 PM)

Qualifications

• Bachelor's degree or higher in Business, Technology Engineering, Teaching, or Science.
• Self-motivated with ability to work independently.
• Experience in operations, preferably in an educational setting.
• Track record of contributing to voluntary organizations and leading educational initiatives.
• Experience conducting workshops and webinars in schools or outreach programs.
• Proven strong organizational and planning skills.
• Excellent communication skills in both Sinhala and English.
• Ability to inspire students and effectively communicate learning progress to parents.
• Strong understanding of RoboticGen Academy's educational vision.
• Demonstrated passion for education, technology, and innovation.
• Proven ability to thrive collaboratively in a fast-paced, dynamic environment.
• Familiarity with virtual meeting platforms such as Zoom and Google Meet, documentation tools like Notion and Google Docs, and visual database tools such as Airtable is a plus.

Remuneration and Contract Details

1. Contract Type:
   • 6-month contract position from date of offer.
2. Payments:
   • Part-time: Monthly basic salary of 20,000 LKR.
   • Full-time: Monthly basic salary of 30,000 LKR.
   • Performance-based monthly bonus up to LKR 20,000 LKR from second month onwards, determined by KPIs and number of active Academy students.
3. Contract Termination:
   • Two-month notice period required for termination.
